How to Set Territory Status, Tags and Custom Fields

Give territories a status that colors the map, add tags and contact details, and create custom fields for the details your team tracks.

What this feature does

Every territory and folder in Population Explorer has an Information panel for what your team knows about it: its status, tags, contact details and custom fields. Statuses color the map, and statuses and tags both work as filters, so you can run a whole territory network without a separate spreadsheet.

Statuses

A status says where a territory stands, such as available, reserved or sold. Each territory has one status or none, and the map shows it as the territory's fill or outline color. Folders get a separate set of statuses.

To set up your statuses:

  1. From the Edit menu, open Manage status and choose Shape statuses, or Folder statuses for folders.

  2. Click Add status, type a name, pick its color and click Add. Drag statuses to change their order. Changes apply across your whole workspace.

  3. Under Display colour as, choose Fill or Outline to set how statuses show on the map.

To give a territory a status:

  1. Select the territory on the map or in the folder list, then click INFO in the toolbar at the right of the map to open its Information panel.

  2. Under Overview, pick a status from the Status menu. The territory's color on the map changes to match.

Tags

Tags are colored labels for anything else you group territories by, such as a region, a brand or a development stage. A territory can have as many tags as you need.

  1. Open the territory's Information panel.

  2. Under Overview, use the Tags field to add an existing tag or create a new one.

Contact details

Record who's responsible for a territory, such as the franchisee, candidate or sales rep, in the panel's Contact details section: given name, surname, email, phone and address. Folders have contact details too, which suits a franchisee who owns several territories.

Custom fields

Custom fields hold the details your team tracks for every territory, such as an agreement date or a territory fee. To add one, click + Add field under Additional Information and choose a field type: Date, Currency, Number or Text. You set them up once for the whole workspace, so every territory records the same information. Dates, phone numbers and currency amounts are checked as they're entered.

Filter by status and tag

Click the Filter icon next to the search bar above your folders, choose the statuses or tags to show and click Apply. Only matching territories stay visible, and you can combine these filters with the others, such as population, income and density. See Search, sort and filter territories.

Tips

  • Agree on status names before you start, so the map means the same thing to everyone.

  • Use statuses for one thing, usually availability, and tags for everything else.
